Clubhouse opening, games and important notices (w/c 28/04)

Club Games:
At the time of writing we have no planned games this weekend as we are still awaiting a date for the Essex Presidents Shield Semi-Final match, keep checking the blog/facebook/your emails regularly for updates.
 
Club Openings:
Wednesday - Open from 7.30pm  'Cuddles' will be opening this Wednesday and will be training up as a duty manager under Gareth's watchful eye, so come down and give him some hassle and order some weird cocktails to go with your curry you can order for post training.


'Ah-ha' its Partridge Friday - Open from 7.30pm 
Ed will be opening the clubhouse from 7.30pm this Friday to help you celebrate reaching the end of the week, and the start of a bank holiday weekend - so come down and keep him company.



Army v Navy TicketsSaturday - Open from 5pm
Although there are no games on the park, there are plenty on the TV and Ryan will be opening the club at 5pm just in time for the kick off for the Edinburgh v Munster game followed by the recorded Army v Navy game from 3pm straight after.

Clubhouse opening, games and important notices (w/c 21/4)

Club Games:

Club Openings:
Wednesday - Open from 7.30pm  Lucie will be opening this Wednesday so come on down and celebrate breaking the back of the 4 day week.

Saturday - Open from 3.30pm
Although there are no games on the park, there are plenty on the TV and Gareth will be opening the club at 3.30pm just in time for the kick off for the Heineken Cup Semi Final followed by the 2 other games we can get. So get yourself settled in for over 4hrs of rugby.

AGM date change - postponed to 31 May

ANNUAL GENERAL MEETING - POSTPONED TO 31 MAY 2014


Due to the season running late this year, it is possible there will be a 1st XV game on the 26th of April. We considered shifting the AGM start time to earlier, but there's concern we'd have to restrict the discussions in order to fit to the game time. 
As this is the most important meeting of the year to inform club members and to elect the management committee for the year to come, we decided it would be in the club's best interest to shift the AGM date. 

Please keep an eye on the blog, Facebook, Twitter and your emails for the updated agenda to be released in mid-May. 

We apologise for the inconvenience but hope you can all make the new AGM date of 31 May 2014, 1pm.


On 26 April some of the current committee will be at the club from 11am to discuss the roles you can volunteer for and answer any other questions you might have regarding volunteering.

RWC 2015 Ticket Applications

Whilst it may be well over a year away, the time has come to make applications for the 2015 Rugby World Cup.
The Club has an allocation of tickets to all games and the process is slightly different from previous ticket applications. We have been allocated 100 tickets across the Twickenham games and 200 across the other games.
For the Twickenham games we have been allocated a specific number of tickets per game and these must be allocated to specific individuals – successful applicants will then be setup in the ticketing system.
For non-Twickenham games, we do not allocate specific individuals and you need to contact us to request to be setup in the ticketing system.

Below are the details of Twickenham games:
1.     England v Oceania 1, Fri 18th Sep (Tickets available: 10)
2.     France v Italy, Sat 19th Sep (Tickets available: 8)
3.     England v Wales, Sat 26th Sep (Tickets available: 10)
4.     England v Australia, Sat 3rd Oct (Tickets available: 10)
5.     Australia v Wales, Sat 10th Oct (Tickets available: 8)
6.     QF2: W Pool B v RU Pool A, Sat 17th Oct (Tickets available: 12)
7.     QF4: W Pool A v RU Pool B, Sun 18th Oct (Tickets available: 12)
8.     SF1: W QF1 v W QF2, Sat 24th Oct (Tickets available: 10)
9.     SF2: W QF3 v W QF4, Sat 24th Oct (Tickets available: 10)
10. Final, Sat 31st Oct (Tickets available: 10)
To apply for Twickenham tickets please email the Club on internationaltickets@millwallrugby.com with the following information:
  • Your full name
  • The e-mail address you want setup on the system
  • Which game you would like to go to?
  • How many tickets you would like? (Please note that there is a limit of 4 tickets per member, but this will be capped to 2 if the game is oversubscribed)
To apply for non-Twickenham tickets please email the Club on internationaltickets@millwallrugby.com with the following information:
  • Your full name
  • The e-mail address you want setup on the system
 We are only able to setup 100 members in the system so do not request access unless you intend to buy tickets. Should a game be oversubscribed/we have more than 100 member requests, names will be randomly drawn (there will be no preference to volunteers as has been the case previously)
The important dates:
30th April 2014 - Application period will close
1st April – 5th May 2014 - Successful applicants will be notified (unsuccessful applicants will not be contacted)
6th – 15th May 2014 – Successful applicants will be setup in the ticketing system and required to login to complete the rest of your details
16th May – 30th June 2014 – Successful applicants who have completed their registration will be able to buy tickets (purchase of tickets will be directly through the system and not via the club)
The IRB have specifically outlined that to apply for tickets, individuals must have held membership since 1st Sep 2013.

Lastly remember the tickets are for personal use of, if you are caught selling them on to a ticket tout or on the internet, the Club will face sanctions and you will face disciplinary action from the club. It is the responsibility of the person who is set up on the system to take full responsibility for the tickets they buy.

Clubhouse opening, games and important notices (w/c 14/4)

Club Games:
Congratulations to the Boys beating the Girls making the series 2-0 so far - and thanks to Jo for organising. We have no planned games this weekend so pre-tour training can start in the form of drinking (responsibly) over the Easter weekend.
 
Club Openings:
'Poynders Mid-Point' Wednesday - Open from 7.30pm You have another one of our new duty managers, Robin, looking after you this Wednesday. He will also be ordering curry for anyone who wants it after training.
 
'Flexy' Good Friday - Open from 5pm  
Flex will be opening the clubhouse from 5pm this Good Friday for anyone who is around - so come down and keep Flex company. (opening hours will depend on demand).

Easter Saturday - Open from 5pm
Fisher will be around to open the clubhouse from 5pm this Easter Saturday, so make sure you make the most of your long weekend and come down to the club. 

Easter Sunday - Clubhouse currently CLOSED
As most of us seem to be going to church on Easter Sunday (maybe) or stuffing themselves with chocolate (more likely), we are not planning to open the club. If any trained duty manager would like to open, please let Ryan know by clicking on this link. Keep an eye on facebook and the blog and we will notify you if the club is open.

Monday night summer touch rugby starts

Scott Vinnicombe will be running touch rugby sessions every Monday night throughout the summer, starting tonight 14th April. This replaces club mixed fitness training.

The Monday touch rugby sessions will begin at 7pm.

These new Monday night sessions during the summer months are in addition to the Sunday sessions that run all year round.

Important Notes:
Membership 
You must be a currently paid up member of the Club to vote (for elections or for awards) or to stand for an elected position.  If you're not a member yet, please see our website to pay online in advance of the meeting.

Nominations for Elected Roles
If you would like to stand for one of the ELECTED positions listed in item 7, you should submit a nomination in by email  to Karen Anderson (secretary@millwallrugby.com) by 1pm on Saturday 19th April.

Potential candidates are strongly encouraged to find out what is involved in the role by referring to the role descriptions on the 
club website committee page or by asking a current or past post-holder.

Article 4.2 of the constitution allows candidates to be considered for election to more than one position if the electing members believe it is in the best interests of the club.

Volunteer Vacancies
The list of volunteer vacancies is a guide, based upon experience of some of the ways you could still help out if you don't want the responsibility of an elected position.  However the club cannot run if we are left with too many of the elected roles left vacant, so the priority for the meeting must be to fill the Elected Roles.

Voting at the meeting
Voting will be carried out by secret ballot (on paper) and voters will be able to choose between each of the candidates plus an option "none of the above/re-open nominations".  Per article 5f of the constitution, where there is only one candidate for a particular position they must gain at least 50% of the votes cast to be elected.
The constitution explains what will happen if any of the elected roles remain unfilled.


Voting in absentia by proxy
·                     Members are not obliged to vote if they do not wish to do so.
·                     If you are not able to attend the AGM in person, you may nominate a proxy to vote on your behalf by giving them and the Chairman\Acting Secretary notice of this in writing (email preferred) by 1pm on Wednesday 23rd April. Where this is not done, the proxy vote will not be accepted.
·                     Your proxy must be a current club member and no club member may carry more than 5 proxy votes. You should instruct your proxy how to vote on your behalf.
·                     If you are unable to find a willing proxy, current club officers will act as proxy for you and will accept written instructions on how to vote on your behalf.
·                     We want members to attend the meeting and take part in the discussions so please do make every effort to attend in person. It's your club and it’s run by the members for the members.
